5 signs your business has outgrown spreadsheets

Spreadsheets are how almost every business starts, and there's nothing wrong with that. The trouble starts when a tool built for one person becomes the backbone that ten people depend on every day.

Sign one: nobody fully trusts the numbers anymore. If a report needs a 'let me double check that' before anyone will act on it, the spreadsheet has become a liability instead of a convenience.

Sign two: one person is the only one who understands the formulas. When a single spreadsheet has a single owner who can't take a day off without something breaking, that's not a system — that's a dependency.

Sign three: the same data is copied into three other files. Every manual copy-paste is a chance for the numbers to drift apart, and eventually, someone makes a decision based on the wrong version.

Sign four: 'version_final_v3_actually_final.xlsx' exists. If your file names tell a story, your process needs one source of truth instead.

Sign five: closing the books, running payroll, or generating a report takes days instead of minutes. That's usually the clearest sign of all — the work has outgrown the tool.
